Role coverage map

Treatment cases, validation reviews, effectiveness checks, alerts, merits and survey sheets are routed to a role in a unit — not to a person. Who holds that role there is found out at the moment the case arrives.

The map asks the same question beforehand: for each unit and each role some routing uses, it shows who would receive the case. It is computed by the same rule as the routing, so what the cell shows is what the case would receive.

Where each person comes from

Next to each name the map says why they receive it:

  • in this unit — they hold the role in the unit itself;
  • one level above — they hold the role in a unit above, and whoever reaches a unit also answers for the units below it. This is the common case: the coordination usually sits at the campus, and the case lands in one of its departments;
  • whole institution — their assignment covers the whole institution;
  • through membership — they joined without any assignment, and the membership counts as full reach with its role.

The two gaps

A cell with nobody is a gap, and there are two different reasons that call for different actions:

  • Nobody holds the role here. A record is missing: nobody has that role in that unit or above it. The action is to assign the role to someone, on the person's page.
  • Everyone away, no substitute. The role has people, but they are all away on the date read and none declared a substitute. The action is to declare a substitute on someone's absence.

While a gap exists, a case arriving there starts without anyone responsible and goes to escalation.

Reading a future date

Pick a date to see the map as it would be on that day, with the absences declared for it — for example, the week two people from the front desk go on vacation together. Whoever is away is marked, with the substitute who would step in. The assignments read are today's; that is why a past date cannot be chosen.

Where the role is used

Next to each role there is the list of what depends on it: treatment flows (and the step), the attributes it validates, alert rules, open merit cycles and survey sheets. That is what a gap in that role affects.

What you see

The map shows only the units within your reach. Someone who holds a role and is outside your reach appears only as a number ("2 more people outside your reach"), and so does a use in a survey outside your program. The map never shows anyone's e-mail or phone.

The Whole institution row — who receives a case with no unit, or a routing declared for the whole institution — appears only to those who reach everything.
